The Administrative Assistant of Sales will support and provide services to ensure a professional and memorable experience to guests and employees at The Cosmopolitan of Las Vegas.
PRIMARY JOB DUTIES:
Duties include, but are not limited, to the following: Screens and directs visitors, telephone calls, and mail. Controls and organizes files for departmental Staff. Provides timely retrieval of filed information as required. Provides independent responses to general correspondence that pertains to general routine organizational activities and procedures. Maintains appointment and activity calendars. Secures travel arrangements for supervisor and other persons as directed. Processes, edits, types and distributes transcription, meeting minutes, meeting agendas and other correspondence. Assist supervisor in staff communications including meetings, projects and programs. Maintains accurate files and records for projects and programs as requested. Safeguards the confidentiality of programs, projects and communications dealing with organizational and business activities. Demonstrates proficient computer skills as required to perform job duties. Acquires new or additional computer skills as needed. Delivers professional and quality written communications, timely and free from errors. Maintains inventory of supplies and administrative needs. Assist the department with the assembling of presentation binders to various clients. Maintains a professional appearance as outlined in CoStar Handbook. Requires the ability to maintain confidentiality of work items at all times. Processes donation requests/gift certificates for clients. Performs other related duties as assigned/required.
Required: Minimum of two years strong administrative experience in a complex organization or an equivalent combination of experience and education. Typing speed of at least 45 words per minute. Proficiency in Microsoft Word, Excel, Outlook as well as Delphi, LMS, Stratton Warren and MS Shift. Must be able to work in a fast-paced environment. Ability to handle multi-line telephone system. Ability to juggle and prioritize multiple tasks and demands. Strong oral and written communications and organizational skills. Intermediate skill level for Microsoft Word, Excel, Outlook, PowerPoint, Access and DELPHI. Proven ability to handle priority and sensitive information in a confidential manner. Exceptional skills in developing and maintaining guest relations. Requires regular, predictable attendance. High School diploma or an equivalent combination of education and experience. At least 18 years of age.

Constant contact with executives, department management, applicants, CoStars and guests is necessary. Prolonged sitting or standing and mobility. Bending and reaching. Transporting, pushing, pulling, and maneuvering items weighing up to 25 lbs. Eye/hand coordination. Use of standard office equipment. Basic math. Push and/or pull file cabinet drawers weighing up to 5 lbs. Ability to distinguish letters, numbers and symbols. Ability to and comply with Policies and Procedures, Job Description, daily memorandums, chemical labels (MSDS) and other instructions.
