Job Description

The Administrative Assistant is responsible for coordinating and maintaining an efficient team-oriented office environment. The Administrative Assistant is responsible for all clerical responsibilities managing multiple projects simultaneously with accuracy and within guidelines. He she develops, analyzes data, and prepares reports and presentations for the division. He she assists with the preparation of contracts and agreements, coordinates meetings, and educational programs. This position represents the division and acts as a liaison for the division, the hospitals and physician practices using diplomacy, tact and excellent customer service skills.

Education
High School Diploma or GED

Experience
Two years of related experience. Requires working knowledge of specialized practices, equipment, and procedures.

Qualifications
*Ability to maintain confidentiality a must
*College degree preferred; high school diploma or equivalent required

*Proficient organization skills for multi-tasking; detail oriented, must be able to manage multiple projects simultaneously

*Proficient computer skills (Word, Excel, PowerPoint, Outlook) ability to learn additional programs used in the department and the organization and function as the technology supervisor for the administrative team of TMG

*Must possess proven record of work in situations requiring a high degree of diplomacy and excellent customer service skills

*Ability to maintain confidentiality a must

*Professional appearance, mature, and stable

*Demonstrated excellent communication skills, both written and verbal, to include proofreading skills.

*Type 50 wpm

*Knowledge of medical terminology a plus

*Prior experience in a clinical setting a plus
Area of Responsibilities
*Coordinates educational programs and maintains education records
*Develops, analyzes data and prepares reports. Abstracts data from several different systems and formats reports for Administration, TMC and TMG Boards, and Providers. Examples-Greenway denial reports, help desk tickets, Press Gainey scores.
*Essential responsibilities include working with directors, physicians and personnel from related but separate departments, and assisting with integration of resources and effort.
*Functions as the technology expert to manage the various software used within the area
*Works with contract or agreement preparation and follow through needed for the division.
*Assists with the transition of new clinics with IT and HR.
*Coordinates incident and complaint tracking for physician practices
*Coordinates patient satisfaction surveys and works as point of contact for Press Gainey.
*Coordinates projects within the division, with other departments and clinic staff to achieve successful outcome
*Coordinates travel arrangements
*Develops and prepares presentations, accurately, professionally and within time frames specified
*Ensures that the office projects a highly professional image
*Interacts with division department directors, staff and physicians to assist with the promotions of the objectives of the division with Executive Director and Vice President.
*Maintains a weekly project list for weekly director meeting.
*Maintains authorization for TMG Sharepoint site and routinely uploads to information.
*Maintains calendar for Executive Director and Vice President. Coordinates meetings with hospital administrators, vendors, and medical staff.
*Maintains provider time off schedule which assists with revenue projections and clinic staffing levels.
*Manages organization of supplies and all printed material including letterhead, envelopes and brochures
*Often performs as liaison when dealing with contacts within the system
*Organizes and prioritizes work to ensure that the office functions at a high level of efficiency
*Performs duties with little or no supervision
*Performs payroll maintenance in Kronos and generates overtime reports for Directors and Administration.
*Provides administrative and clerical support for TMG administration
*Requires strict adherence in maintaining patient confidentiality as well as departmental and health system confidentiality
*Responsible for coordinating employee of the quarter and clinic of the month luncheons.
*Responsible for monitoring purchasing of office supplies and other purchases to assist with cost savings.
*Routinely creates surveys with Survey Monkey to monitor provider and clinic satisfaction for services.
*Takes dictation/type confidential correspondence

Compliance Statement
Employee performs within the prescribed limits of Tanner Health System's Ethics and Compliance program. Is responsible to detect, observe, and report compliance variances to their immediate supervisor, the Compliance Officer, or the Hotline.
