Job Description

Job Summary

The Lifestyle Manager is responsible for developing and executing all work- plans, including marketing and budget plans, for all lifestyle, which will include, but limited to social, entertainment and educational programs. (Collectively referred to as events). The Lifestyle Manager will work with the Lifestyle Advisors to solicit resident input regarding Lifestyle activities.

 

Essential Duties & Responsibilities Organize all events and publish an annual calendar of events including dances, theme parties, holiday celebrations, movies, card games, bus trips, etc. Direct the delivery of all events, including on site supervision and severing as Host. Solicit feedback from Residents on a regular basis to assess level of satisfaction with provided activities and to gather new ideas for improving and/ or adding events to future work-plans. Collaborate with Clubs to promote and coordinate events to promote resident participation. Conduct periodic meeting with Club Council Oversee room reservation process for Clubhouse facility. Collaborate with the Communication Manager to provide promotional information as part of the marketing plan for events. Schedule and /arrange for personal and equipment needed to provide the event. Assign, direct and supervise all personnel assigned to the events. Supervise catering services when provided at the event. Arrange for and supervise all operational and technical requirements (ex. Lighting and sound) needed to deliver the event. This includes overseeing all logistical functions such as setup and breakdown. Direct all ticket sales for events. Ensure fiscal control of sales transactions and accurate financial reporting including internal audits for financial reconciliation and including profit/loss statements for each event. Select and negotiate contract(s) for vendor services for each event. Setup vendors in FSR Accounts Payable System – make sure accurate insurance paperwork is submitted including general aggregate limits and naming VL POA as additional interest/insured. Establish involving proper invoicing procedures with vendor. Coordinate the ordering of supplies for events’. Oversee all posting of relevant and timely information about events on bulletin boards in Clubhouse. Take pictures of events to use for promotional purpose Community events, parties and other special occasions to use for marketing material and to use for report purposes. Provides General Manager and Board of Director with detailed weekly/ monthly report to include summary of all past, present, and future events including detailed financial reports of all events. Maintain current information database for Business, Contracts, Vendors, Sponsors, Clubs, committees, and Residents. Coordinate all volunteers involved with events. Manage the fitness program – including coordinate fitness classes/programs, submission of invoices for vendor payments. Manage the Ultimate Bliss Spa – including the coordination of MindBody.

 

Additional Duties & Responsibilities Other duties as required.

 

Supervisory Responsibility Direct and supervise all staff assigned to providing events. Direct and supervise the Lifestyle Administrative Assistant.

 

Education & Experience Bachelor’s degree in Business or related field from an accredited college or university, or equivalent combination of education and experience. Minimum of 3+ years or related work experience as an Activities or Social Director required.

 

Knowledge, Skills & Proficiencies Must have strong entertainment planning background. Solid computer skills. Proficient in Microsoft Office Suite. Able to work with vendors and crews on organizing events in a timely manner. Strong administrative background including attention to detail and organizational skills. Excellent working knowledge of customer service principles and practices. Outstanding interpersonal, office management and communication skills, as well as a self-starter and multi-tasker. Critical thinking, complex problem solving, judgment and decision making. Exercise all duties and tasks in a cheerful and friendly manner as well as be a team player, together with office staff and residents to achieve all events successfully. Ability to work independently and be self-driven, with ability to identify, plan and prioritize business opportunities. Ability to work nights, weekends, and some holidays as required by business needs.

 

Tools & Equipment Used The associate is required to work at a personal computer for extended periods of time as well as talking on the phone for extended periods of time.

 

Physical Requirements/Working Environment Physical demands include ability to lift up to 50 lbs. Standing, sitting, walking, carrying, and occasional climbing. Ability to work extended/flexible hours and weekends. Hours will vary.

 

Travel Driving when necessary.
