Job Description

The National Multiple Sclerosis Society is a national non-profit that exists because there are people with MS. Our vision is a world free of MS. Under the general guidance of the Accounts Receivable Manager, the Accounts Receivable Specialist is responsible for the accounts receivable function for the Society, which includes creation of invoices, processing and recording of cash receipts. Contributions are received on-line through Society's website, in the mail, ACH deposits, directed through lockbox service, stock gifts and credit cards through use of Society's mobile units.

The depositing of cash receipts involves the use of Remote Scanner to deposit into the Society's bank account and saving all documents as part of creation of the deposit batch for upload to SharePoint system.

The recording of cash receipts involves identifying revenue campaigns applying to corresponding General Ledger accounts creating journal entry for upload into Accounting System.

Essential Function/Responsibility 1. Accounts Receivable Processing

  Daily Mail processing to include: Open incoming mail, tally checks received for deposit following internal controls process. Deposit contributions daily into Society's bank account through Remote scan device or directly at bank. Verify contributions received via various means including, remote deposit, ACH, mobile credit card units, Merrill Lynch stock gift account, etc. and verify totals per bank deposit. Review contribution and identify revenue campaign per correspondence and through use of Society systems such as AR Module, Data Warehouse and/or Luminate or external system such as company portal. Identify payments related to invoices and apply contributions to open receivables Contact corporations and/or collaborate with Society staff to assist with unidentified cash receipts as needed. Record contributions, including restricted contributions per donor intent, to appropriate revenue account according to Society Foundation Data Model. Upload Deposit batch in SharePoint for further contribution entry into Data Warehouse/Luminate performed by Constituent Information Center (CIC) and coordinate with CIC team to ensure accurate and complete information Process credit card donations as needed following batch deposit procedures Process invoice requests, including verifying support and coding, and creating and sendinginvoices utilizing Society's Accounts Receivable Module within Workday Enterprise system Manage receivables and work with various departments and relationship managers, following up on outstanding receivables and responding to inquires Process invoice adjustments/write offs to apply against invoices that are identified as uncollectible per AR Manager or Finance Center Director Research and resolve discrepancies as needed Generate reports detailing accounts receivable status Provide general support to AR Manager as directed Perform other duties as assigned.

  2. Customer Services Provide general accounting customer service to Society staff Courteously and promptly respond to all requests and inquiries from staff and contributors Provide general accounting customer service to contributors.

  3. Volunteer Engagement Increase the number of Society volunteers, recognizing and recruiting talent (Managing Relationships, Being Open and Receptive) Engage volunteers, effectively communicating and facilitating meaningful opportunities across all functions. (Communication) Partner with volunteers to accomplish our work. Minimum Education: High School diploma or equivalent

Minimum Experience: At minimum a high school diploma or equivalent Minimum of two years accounts receivable and customer service experience. Solid understanding of basic accounting principles. Proven ability to calculate, post and manage accounting figures and financial records Data entry skills along with aptitude for numbers Hands-on experience in operating spreadsheets and accounting software Proficiency in MS Office with high level of ability in Excel Customer service orientation and negotiation skills High degree of accuracy and attention to detail

Technical/Other: Problem solving skills in accounting transactions; the ability to analyze and reconcile figures on a monthly basis. Knowledge of Excel and Microsoft Office Suite High level of confidentiality Strong attention to detail, organization skills & excellent time management Solid analytical skills for investigating/correcting problems Strong typing and 10-key calculator speed.   Estimated hiring  compensation range for this role is $20-$25 per hour and is eligible for overtime .  Final offers will be based on candidate geographic location and consider career experience  and  may vary from this range due to these  and other  factors.
